How to move your business from Excel and WhatsApp to an ERP
A phased migration plan for cleaning customer data, testing workflows, assigning ownership and moving a small team without disrupting daily work.

A successful ERP migration does not begin by importing every spreadsheet and message. It begins by choosing the business workflows that need one reliable record, cleaning the data required for those workflows and testing them with the people who perform the work.
Define the reason for moving
Write three concrete problems: duplicated customer data, quotations with inconsistent prices, missed tasks or no view of overdue invoices. Turn each problem into a testable outcome. “Find a customer’s invoices and active project from one profile” is clearer than “become digital”.
Inventory the current sources
- Customer and supplier spreadsheets.
- Product, service and price lists.
- Quotation and invoice files.
- Project boards and task lists.
- Expense records and attachments.
- WhatsApp groups used for decisions or file sharing.
Mark the owner, update frequency and sensitivity of each source. Do not copy private conversations into a shared system without a legitimate business need and appropriate access.
Clean data before importing it
Choose the authoritative value when names, phone numbers or VAT details differ. Merge duplicates, identify inactive records and standardize required fields. Keep the original export in a controlled archive. Importing poor data quickly only makes the new system harder to trust.
Move one workflow at a time
- Select a representative customer.
- Create the customer and services in the ERP.
- Prepare a quotation and obtain approval.
- Create the project and assign tasks.
- Issue a test invoice and record a sample expense.
- Review the dashboard and reports.
- Document gaps before adding more records.
Decide what WhatsApp will still be used for
A migration does not require banning communication tools. Define the boundary: WhatsApp may remain a conversation channel, while agreed work becomes an assigned task and customer history belongs in the shared record. This prevents important decisions from existing only on one phone.
Set ownership and permissions
Assign an owner for customer data, sales, projects and financial records. Give each role the access needed for its work and review who can issue invoices, change company settings or see sensitive reports. Prepare a short operating guide using examples from the trial.
Choose a cutover date and measure adoption
After the pilot, choose when new records will stop being created in old files. Keep read-only archives where necessary. During the first month, review missing fields, tasks still sent only in chat, invoices created outside the process and questions from users. Fix the workflow rather than blaming the team.

Frequently asked questions
Should we import all historical data?
Not always. Active customers, opening balances and current work may be enough, while older records remain in a secure archive. Decide based on operational and retention needs.
How long should Excel and the ERP run together?
Use a short, planned validation period. Long parallel operation creates duplicate records and uncertainty about which source is correct.
What causes most migration problems?
Unclear ownership, poor source data and trying to change every process at once cause more difficulty than the import itself.
